How we work / Scope before software

One useful outcome.
A clear agreement.

No oversized bundle and no mystery handover. We agree on the accounts, people, deliverables, costs, and checks before anything changes.

Where to begin

A manageable project.
Room to build on it.

These are starting points, not fixed-price packages. We review what you have today before confirming the work.

01 / Starting fresh

Email & Microsoft 365

Professional email on your domain, Microsoft 365 accounts for your team, and everything working on computers and phones.

  • Domain, mailboxes, and shared inboxes
  • Two-step sign-in and licences reviewed
  • Setup, checks, and a walkthrough
Business email

02 / Moving across

Move to Microsoft 365

Bring email, calendars, contacts, and files from Gmail, an old host, or a shared drive, with a planned switch-over.

  • Accounts and files counted first
  • Old service kept until checks pass
  • Staff training on the new setup
Microsoft 365 migration

03 / Getting online

A website that works

A clear website on your own domain, with a contact form, search listings, and a way for you to make updates.

  • Design, pages, and your content
  • Domain, hosting, and email connected
  • Google and Bing listings set up

Costs & ownership

The work. The tools.
The ongoing help.

The proposal separates each cost so you know what you are paying for and who owns it.

Project work

Planning, setup, moving your data, testing, and handover. Price and timing follow a short review of what you have.

Software & subscriptions

Microsoft 365 licences, your domain, website hosting, and other provider fees are billed to your business directly. We review what you already pay for first. Registered charities and nonprofits may qualify for Microsoft’s nonprofit offers.

Optional ongoing help

New staff accounts, website updates, report refreshes, or future changes, agreed separately with a response window.

Microsoft 365 plans differ in which apps and storage each person gets. Check the current Microsoft 365 business plans when agreeing on a project. Power BI sharing and Power Automate licensing are reviewed separately if those are in scope.

Acceptance & handover

Agree on what
good looks like.

The checks should match the project. Nothing switches over until it works the way we agreed.

  1. 01

    Access checks

Every mailbox sends and receives, and domain records pass.

  2. 02

    Move checks

Mail, calendars, contacts, and files counted before and after.

  3. 03

    User checks

Staff can sign in on their computers and phones.

  4. 04

    Owner handover

Admin logins in your name, instructions, and a walkthrough.

Common questions

Before we begin.

The questions small businesses ask most before a move.

Will we lose any email during the move?

The plan is to avoid it. Old mail, calendars, and contacts are copied first, the switch-over is scheduled for a quiet time, and the old account stays open until we have checked that everything arrived. A few messages sent during the switch can take some hours to route, and we plan around that.

Can we keep our current email address and domain?

Usually, yes. If your business owns the domain, we point it at the new service. If someone else registered it, we help you move it into your business’s name first.

Microsoft 365 or Google Workspace?

Both work well for email. Microsoft 365 is the better fit if your team relies on Word, Excel, Outlook, or Teams, or you plan to use SharePoint or Power BI. We choose together based on how you work.

Do we need new Microsoft subscriptions?

Not necessarily. We review what you already pay for and which staff need which apps, then recommend the smallest plan that fits. Microsoft fees are billed to your business and are separate from my quote.

Do charities and nonprofits pay less for Microsoft 365?

They may. Microsoft offers discounted and donated plans to eligible nonprofits with recognized legal status and a community-benefit mission. Microsoft decides eligibility, so I help you check the current requirements and apply before we choose a plan.

Who owns the accounts, domain, and website?

Your business. Admin accounts, the domain, and hosting are set up in your business’s name, and you receive the logins. Please do not send passwords through the public enquiry form.

Are the examples real clients?

Some are. Saint Philip Neri Parish is a real website in progress. The sample business websites and reporting examples use fictional organizations and data, and are labelled as samples.

Can you look after it afterwards?

Yes, if you would like. New staff accounts, website updates, and small changes can be agreed separately with a response window. Larger new features may need their own project.

How long will it take?

It depends on how many people, mailboxes, and files are involved. We confirm timing after a short review of what you have, rather than promising the same timeline for every project.

About the studio

Philips Rhoguns

Independent studio / Toronto

Rhoguns Studio is an independent small business technology studio in Toronto. You work directly with me from discovery through handover.

I help small businesses set up the technology they run on: email, Microsoft 365, websites, and the reporting that comes after. My focus is a careful setup, clear checks, and a handover your team can use.

The examples show the work and its current boundaries. We will agree on what your project needs before making implementation commitments.
